What is a work request?

A work request describes maintenance work that needs to be done. A work request is the identification of work needed, issued to the maintenance department.

What should be included in a work order request?

A work order request describes the work to be done and should contain information that accurately describes the incident. Also helps the maintenance department to perform work efficiently. When the maintenance department in Enterprise uses KanBo Work Order Template, each request can be described with many attributes:

  • Description of issue. Use KanBo notes and describe what’s the problem is?
  • Health and safety notes. Use KanBo notes and describe what safety procedures and equipment are needed.
  • Date requested. This date is automatically added when the request was created.
  • Requester name, department, contact information. When a request is created by an employee from Enterprise, this information is visible in the user – requester profile.
  • Expected completion date. Add End Date to work order item.
  • Actual completion date. Information when was the work order completed and closed, are automatically added. This is done when the status of work order changes to complete.
  • Task checklist. The requestor or maintenance department can use the To-Do list. In this way can make a step-by-step guide, to completing the required work.
  • Priority. Show how important is this work request. Use Labels and add to a work request with High, Medium, or Low priority.
  • Assigned to. Add persons responsible and co-workers for work requests.
  • Associated documents. With Document groups, which is a KanBo feature, the maintenance department and work requestor can keep all documents in order.
  • Notes. The requestor and maintenance department can add any other observations that might be helpful in completing the work order as a KanBo Item notes

  2. Add as a requestor work order item to a first List – New request.
  3. Add all relevant information related to this work request.
  4. The Maintenance Team moves this Item to a next List – Prioritized and Scheduled.
  5. Maintenance teams after review work request, move Item to 3rd list. In this step, the manager can set a responsible person, add a due date, and communicate in a context of work request with the requestor.
  6. In 4 step of the process work request is completed and all relevant information is documented.
